Position Summary:

The Operations & Systems Efficiency Specialist will play a key role in optimizing Deus X Defense’s internal processes, systems, and employee effectiveness, with a strong focus on leveraging AI and emerging technologies. This role drives operational excellence by implementing scalable tools, workflows, and automation that support the company’s rapid growth and technical objectives. In addition, the role includes company-wide ownership of core collaboration platforms, including Monday.com and SharePoint, ensuring workflows, permissions, and structures are designed to improve clarity, execution, and efficiency across teams. This position reports directly to the CFO and works cross-functionally to embed operational effectiveness throughout the organization.

What you will do:

• Process Optimization & Automation: Identify, analyze, and optimize internal operational workflows across all departments (e.g., engineering, operations, sales, HR). Design and implement automation solutions, leveraging AI-powered tools and potentially developing custom scripts/integrations to streamline repetitive tasks and reduce manual effort.

• Internal Systems & Tooling Management: Own the provisioning, configuration, and ongoing management of internal IT systems, software tools, and platforms. This includes identifying new software solutions, conducting vendor assessments, and ensuring seamless integration with existing infrastructure.

• AI/Technology Trend Tracking: Continuously research and track emerging trends in AI/ML, robotics, computer vision, and other relevant software technologies. Assess their potential impact on Deus X Defense’s operational efficiency and inform strategic decisions on future technology adoption.

• Employee Onboarding & Training: Develop and implement efficient onboarding programs for new employees, ensuring they are quickly integrated into our systems and workflows. Create and deliver ongoing training modules on new technologies, processes, and best practices to maximize individual and team effectiveness.

• Knowledge Management: Lead our Project Management System Monday and SharePoint for the organization. Establish and maintain centralized knowledge repositories, documentation, and best practices for internal processes, systems, and technology usage.

• Data-Driven Efficiency Measurement: Implement metrics and reporting mechanisms to track key operational efficiency indicators, identify bottlenecks, and demonstrate the impact of implemented improvements.

• Cross-Functional Collaboration: Work closely with engineering, operations, and leadership teams to understand their needs, gather feedback, and ensure that efficiency initiatives are aligned with overarching company goals.

• Special Projects: Lead or contribute to special projects aimed at improving organizational efficiency, technological adoption, or strategic initiatives as directed by the CTO.

About you:

• Education: Bachelor’s degree in Computer Science, Engineering, Data Science, Business Analytics, or a related technical field.

• Experience: 0-2 years of professional experience in a fast-paced environment, preferably within a technology-focused company, startup, or a role involving process improvement, project coordination, or systems administration.

• AI Native & Tech Savvy: Demonstrated passion for Artificial Intelligence, robotics, and emerging technologies. Familiarity with AI/ML concepts and their practical applications.

• Coding Aptitude: Basic coding proficiency (e.g., Python, JavaScript) with the ability to leverage AI tools for scripting, automation, and basic workflow development.

• Exceptional Organizational Skills: Highly organized, detail-oriented, and capable of managing multiple priorities independently.

• Strong Administrative Acumen: Proven ability to establish and manage systems, documentation, and operational procedures.

• Analytical Mindset: Ability to analyze data, identify patterns, and propose data-driven solutions for efficiency improvements.

• Communication Skills: Excellent written and verbal communication skills, with the ability to articulate complex technical concepts to non-technical stakeholders.

• Proactive & Independent: A self-starter who can take initiative, identify problems, and propose solutions with minimal oversight.
